Terms you will meet
A short dictionary of words used throughout Kreativlo. Terms specific to one module are explained in that module's own glossary.
Accounts and companies
Account : Your personal identity in Kreativlo — one email, one password. An account follows the person, not the company. If you move to another employer who also uses Kreativlo, it stays the same account.
Company (organisation, tenant) : One business entity subscribing to Kreativlo. All data — employees, attendance, payroll — belongs to a single company and is never mixed with another's.
Membership : Your seat in a company. One account can hold seats in several companies at once. The membership is what carries your job title, department, and manager.
Company group : An umbrella over several companies belonging to one customer — for instance a holding with three entities beneath it. A group exists for consolidated reporting; each company's data stays separate. More.
Seats : The limit on how many members you may invite, set by your subscription.
Applications and subscriptions
Module : One Kreativlo product — Kreativstaff (HR), Kanari (CRM), Finara (Finance), and so on. Each module can be bought separately.
Active subscription (entitlement) : A company's permission to use a module. Modules that are not subscribed to do not appear in the app launcher.
Trial : 14 free days when you first create a company.
Grace period : The 3 days after a subscription lapses, during which the applications still open so you have time to renew. After that they lock — the data stays safe, it simply cannot be opened.
Roles and permissions
Role : A bundle of permissions your administrator gives you, such as "HR Admin" or "Employee". Your role decides which menus appear on your screen.
Company owner (org owner) : The highest role within a company. Only the owner can handle billing and subscriptions.
Company administrator (org admin) : Runs day-to-day operations — inviting members, assigning roles — but does not handle payments.
Approver : The person who decides your requests. Determined by the organisation structure, not by your role.
Workflow
Request : Something that needs approval — leave, overtime, a claim, an attendance correction, and others.
Approval chain : The sequence of people who must approve before a request is considered settled.
Escalation : The automatic reminder that moves a stalled request up the chain.
Draft : Saved but not submitted. Not yet visible to anyone but you.
Final : Locked and no longer changeable. Corrections must go through a separate correction.
Words that get confused
| Term | Does not mean |
|---|---|
| Account | Employee. An account can exist without being registered as an employee anywhere. |
| Membership | Registered employee. Someone can hold a seat while their employment data is still incomplete. |
| Role | Job title. "Finance Manager" is a job title; "Finance Approver" is a role. |
| Grace period | An extension. It only delays the lock; it does not extend the subscription. |
| Final | Paid. A final payroll run means the figures are locked, not that the money has been transferred. |
