Companies and members
This page explains the relationship between a personal account, a company, and a registered employee — three things often mistaken for one another.
Three different things
| Term | Belongs to | Example |
|---|---|---|
| Account | The person | The email budi@example.com and its password |
| Membership | The company | Budi holds a seat at PT Maju Jaya as Finance Staff |
| Registered employee | The HR module | Budi's full record: ID number, office, shift, manager, salary |
The three stack: an account can exist without a membership, and a membership can exist without complete employee data.
This is the most common source of confusion
Someone can sign in successfully (they have an account), appear in the member list (they have a membership), and still be unable to clock in — because their employee record is incomplete, for instance with no office or shift assigned.
When a new employee reports being unable to clock in, check the completeness of their record first, not their role or subscription.
Inviting members
Only company owners and administrators can invite.
Portal → Company → Members → Invite. Enter the person's email address.
Choose the role they will hold. Roles can be changed at any time afterwards.
The invitation is emailed and is valid for a limited period. If it expires, resend it.
Once accepted, that person holds a seat in your company. If they already have a Kreativlo account they simply sign in; if not, they set a password first.
Seats
Your subscription determines how many members you may have. This limit is checked twice: when the invitation is created, and when it is accepted.
The second check matters: if you send ten invitations while only three seats remain, only the first three to accept will get in.
To add seats, contact us through the billing page.
Deactivating members
Two different actions that get confused:
| Action | Effect | When to use |
|---|---|---|
| Deactivate | Cannot sign in; data and history stay intact | Employee on long leave, suspension |
| Remove from company | The seat is released for someone else | They will not be coming back |
Neither deletes history. Attendance, requests, and payslips that existed remain stored — as they must, because those are records that have to stand up to scrutiny.
That person's personal account is not deleted either; they simply lose access to your company.
Creating a new company
Anyone with an account can create a company, and automatically receives a 14-day trial.
There is a limit: one trial per account. Being invited to someone else's trial does not consume yours.
Switching between companies
If you belong to several companies, the account menu lists them. Choosing one replaces everything on screen.
The active company name is always visible in the top right — make a habit of checking it before entering anything important.
Who can do what
| Action | Owner | Administrator | Ordinary member |
|---|---|---|---|
| Invite members | ✅ | ✅ | — |
| Change someone else's role | ✅ | ✅ | — |
| Deactivate members | ✅ | ✅ | — |
| Buy & renew modules | ✅ | — | — |
| View billing | ✅ | — | — |
| Edit their own details | ✅ | ✅ | ✅ |
Splitting off the "buy modules" row is deliberate: administrators run day-to-day operations, while spending decisions stay with the owner.
