Roles and access

Your screen and a colleague's can look very different in the same application. That is not a fault — that is roles.

Why screens differ

Kreativlo shows only what you may open. A menu you have no right to is not displayed at all, rather than displayed and then refused when clicked.

That choice is deliberate: a menu that is visible but always refuses only makes people think the application is broken.

If the guide mentions a page that is not on your screen

Your role most likely does not cover it. Ask your company administrator whether it should — do not assume the application is faulty.

Two levels of role

Platform roles govern the company itself: inviting members, assigning roles, handling billing. They do not by themselves grant access to a module's contents.

Module roles govern what you can do inside one module. One person can hold several module roles at once — for instance HR Manager in Kreativstaff and Approver in Finara.

Built-in roles

Every new company comes with ready-made roles:

Other modules bring their own built-in roles — cashier and outlet manager for Tokora, dispatcher for Armavio, and so on.

Only the owner handles billing

This separation is deliberate. The company administrator runs day-to-day operations, but spending decisions remain with the owner. An administrator cannot buy new modules or renew a subscription.

A role is not a job title

This is the pair most often confused:

Someone can hold the job title Finance Manager while carrying only the ordinary Employee role in Kreativstaff — and that is perfectly normal.

Neither is "manager" a role

Who approves your leave is not decided by your role, but by the organisation structure in the HR module.

Which means: changing someone's manager in the org chart changes where their requests go. That side effect surprises people — make sure it is what you intend when changing the structure.

Portal → Company → Members → pick the person → change their role.

The change takes effect shortly. If that person has the application open, they may need to reload the page for their menus to catch up.

If you feel you are missing access

• Check you are in the right company. Look at the company name in the top right. Switching companies changes your role entirely.

• Check the module is actually subscribed to. If every module has vanished, that is a subscription problem, not a role problem. See the explanation.

• Contact your company administrator, not us. Only they can grant roles.
