One table holding each employee's attendance figures for a month.
These are the figures payroll reads
The Monthly Recap is not merely a report. These are the numbers payroll takes when calculating pay — absence deductions, attendance allowances, and the basis for overtime all come from here.
Which is why wrong attendance must be fixed before that period's payroll is finalised. Once final, the figures are locked.
The columns
| Column | Meaning |
|---|---|
| Scheduled | How many days this person was scheduled to work this month |
| Present | Days with a valid clock-in |
| Late | Days clocked in past the threshold |
| Early departure | Days clocked out before the shift ended |
| Absent | Working days with neither attendance nor leave |
| Leave | Days covered by an approved leave request |
| Total minutes worked | Total recorded working time |
| Attendance rate | Present divided by scheduled, as a percentage |
Using it
Choose the month to examine.
Sort by Absent or Late to find who needs attention first.
Look for a suspiciously small Total minutes worked — that is usually a sign of an uncorrected day without a clock-out.
Export if you need to work with it further.
Before running payroll
This recap should be checked and cleared first:
- No days without a clock-out remain
- Every attendance correction for that month has been decided
- Every overlapping leave request has been approved or rejected
Clearing it after payroll is final means the corrections can only take effect in the following period.
