What each message means
Every refusal and warning Kreativstaff can show you, and what to do about it.
Grouped by when the message appears, not by menu. A message is usually remembered as "when I tried to clock in", not as "a message from the Attendance page" — so that is how they are arranged here.
The fastest way to use this page
Press Ctrl + F (or ⌘ + F) and paste in a few words from the message you saw. The wording here is deliberately the same as on screen.
When clocking in or out

| You have already clocked in today | It is already recorded, possibly from another device | Reload the page |
| Today's session is already closed | You have already clocked out | File an attendance correction if the time is wrong |
| No clock-in recorded today | Clocking out without a clock-in | File an attendance correction |
| Attendance changed on another device | Two devices wrote at the same time | Reload, then try again |
| Location not available | Location permission denied, or the satellite fix has not landed | Allow location access in your browser |
| GPS accuracy too low | The signal is too coarse to rely on | Move near a window or step outside |
| You are outside the office radius | You are further away than that office allows | File an attendance correction, or request WFH |
| Mock location detected | A location-faking app is running | Turn it off — the attempt is recorded |
| WFH is not enabled | Your company does not use this mode | Contact HR |
| No approved WFH request | Nothing is approved for that date | Request WFH first and wait for approval |
| Face verification required | The photo has not been taken | Take the photo at the verification step |
| Your face is not enrolled | You have never registered your face | Enrol once from the attendance menu |
| Face did not match | The match failed | Improve the lighting and try again |
| Leaving early needs a reason | Clocking out before the shift ends | Give the reason — it becomes an Early leave request |
When filing a request
Most of the messages below come from the request rules your company has set. You can read those rules before filling anything in, in the company rules box that appears above the form.

| Cannot be filed more than N days ahead | The maximum notice rule |
| Cannot file for a date more than N days ago | The backdating limit |
| Minimum X per request · Maximum X per request | Limits on the size of a single request |
| Must be a multiple of X | The increment rule — for example overtime counted per half hour |
| Overtime is only counted from … onwards | Your company sets when overtime starts counting |
| You chose "Other" — describe it | The text box under that choice is required |
| Unrecognised option for this field | The option list has changed |
| Over this month's quota: A of B already used | The monthly quota, counting approved and pending |
| The reason must be at least N characters | The reason-length rule |
| Overtime limit exceeded | A daily or weekly ceiling, from regulation or a stricter company rule |
| Insufficient balance | Your remaining leave is less than the days requested |
When approving
| Message | What it means |
|---|---|
| Company rules require an attachment | The requester attached nothing — ask through the Discussion tab rather than rejecting outright |
| This request has already been decided | Somebody else decided it first |
| You cannot decide your own request | This applies to everyone, however senior |
| Attachments can no longer be changed | Evidence is frozen after a decision, so the decision stays auditable |
When running payroll
Payroll separates two levels, and the difference matters:

| Blocking | The run cannot be approved until it is fixed |
| Warning | Shown plainly, but the decision is yours |

| Negative net pay | Blocking | Deductions exceed earnings. Check salary advances, absence deductions and this month's adjustments |
| Deductions exceed half of wages | Blocking | Past the permitted deduction ceiling. Reduce the advance instalment, or spread it over more months |
| Below minimum wage | Either | The default only warns, because there are lawful arrangements such as subsidised internships. It can be made blocking |
| Base pay below three quarters | Warning | A pay structure problem, not a mistake in this month — which is why it does not block payday. Fix the composition in Employee Pay Data |
| Pay changed sharply against last month | Warning | Check the change was intended. This is the most effective mis-entry catcher in the whole Payroll menu |
| Employee skipped | Note | Not an error. The reason is stated, along with where to fix it |
| The period has not happened yet | Blocking | Pay cannot be calculated for a month still to come |
| This period is finalised and locked | Blocking | Corrections go in as an adjustment in the next period |
| The person who calculated it cannot approve it | Blocking | A second person is needed to approve |
When filling in a KPI scorecard
| Message | What it means | What to do |

| No actuals entered | The scorecard was sent without a single figure | Enter an actual for at least one indicator |
| Evidence required | An indicator has a figure but no attachment | Open the flagged indicator and attach the file |
| A reason is required | Returning a scorecard without writing why | Write the reason — the person reads it directly |
| The quarter is already closed | It is at its final stage | Nothing to do; open the next quarter |
| That stage change is not allowed | The stage has already moved | Reload the page — somebody else has probably moved it |
| Weights do not total one hundred percent | The two assessment halves do not add up | Fix it in KPI Settings |
| Grade thresholds do not descend | The thresholds are out of order | Fix it in KPI Settings; each must be lower than the one above it |
