Adding an employee
A four-step wizard at People → Employees → Add employee.
This wizard completes work data for an account that already exists
The account itself is created by inviting the person in Kreativlo Portal → Company → Members.
If the name you are looking for is not found at step 1, the invitation has not been sent or not yet accepted.
Step 1 — Choose the person
Search among members not yet registered as employees.
Step 2 — Employment
| Field | Required | What it holds |
|---|---|---|
| Employment status | ✅ | Permanent, contract, probation, daily. Determines the first contract created automatically |
| Start date | ✅ | First working day — the basis for length of service, leave proration, and festive allowance |
| Contract end | — | For contract staff; leave blank for permanent |
| Probation end | — | Used to prompt the probation review |
| Employee number | — | Leave blank if the company has its own code to fill in later |
| Job title | — | As written in the contract |
| Contract notes | — | Anything specific worth remembering |
Step 3 — Placement
| Field | What it holds | If left blank |
|---|---|---|
| Unit / department | The unit they work in | Absent from the unit chart |
| Direct manager | Who approves their requests | Requests flow to the unit manager |
| Office | The office for clocking in | Cannot clock in at all |
| Work schedule / shift | Their working hours | Cannot clock in at all |
| Attendance rules | Lateness, radius, face requirement | Follows the company default |
| Leave template | Their leave entitlement package | Follows the company default |
Office and Work schedule are the two most important fields here
Without both, that employee's clock-in button is dead and they see a message saying HR has not yet assigned their office and work schedule.
Both can be completed later through Attendance Management → Roster & corrections — but until that happens, the person cannot record attendance at all.
Step 4 — Onboarding & review
| Field | What it holds |
|---|---|
| Onboarding checklist | The checklist template to run. Skip this when recording existing staff |
| Onboarding start date | Blank means it follows the start date |
The final screen summarises everything before saving.
Check these three lines on the summary screen
Unit, Manager, and Shift. If any of them reads "Not set", complete it now — or note it down to complete the same day.
Those three are the ones most often missed, and all three affect attendance and requests directly.
Deactivating an employee
On the Overview tab of their profile, change the employment status:
| Status | Meaning |
|---|---|
| Active employee | Normal |
| Temporarily inactive | Suspended or on extended leave — still counted as a member |
| Resigned | Departed. Requires an end date and a reason |
Employment type is changed separately — use that when a contract converts to permanent.
